Records Retention and Disposal 2025

Annual Records Disposal — Due May 30, 2026 (City Offices)

Help your city stay compliant and organized by completing the annual records disposal process by May 30, 2026.

Where to find the retention schedules

State retention schedules (with calculated disposal dates): Search by record series title (keywords) or by City Government → [specific office] (e.g., City Auditor).

Your disposal reports

NDLC provides a separate disposal report for each city office. Each report lists the relevant general schedule record series and includes fields to report paper volume (inches) and electronic volume (MB) disposed.

What you need to do

  1. Review your office’s retention schedule to confirm disposal eligibility.
  2. Complete your office’s disposal report, entering paper inches and/or electronic MB for each series you’re disposing.
  3. Submit your completed report to stephanie@ndlc.org by May 30, 2026.

How to submit

Send completed reports to Stephanie at NDLC:

  • Email: stephanie@ndlc.org
  • Mail: North Dakota League of Cities, 410 E. Front Ave., Bismarck, ND 58504

Keep your schedule accurate

The retention schedule should reflect the records your office actually maintains. If a series appears missing or a description seems inaccurate, contact:

Transferring records to the State Archives

Some records must be transferred to the State Historical Society of North Dakota – State Archives. Please plan ahead; transfers require additional lead time, especially for electronic records.
